App connections
Connect your accounts once, then let neurons read from and act in your apps, or start when something happens in an app.
App connections link your accounts in other apps, such as your email or calendar, to Neuron. Once an app is connected, a neuron can use chosen actions in it while it runs, and an event in the app can start a neuron. Your neurons act in your accounts only in the ways you allow.
Connect an app
- Open Connections: from the canvas, click your name at the right of the top bar, then Connections. Connect an app at the top takes you to the list of apps.
- Find the app: type in Search apps, or pick a category. The most common categories are listed, and More categories has the rest, with a search and how many apps each has. Each app shows its category and how many actions it offers. Apps are shown 12 at a time: use the page numbers, Prev and Next below them.
- Click Connect, then sign in to the app and allow access. You return to Connections when it is done, and the app appears under Your apps.
Every app shows its own logo in its own colour, here and everywhere else in Neuron. Apps that need no sign-in are not listed: there is nothing to connect, and any neuron can use them. Click an app's name to see everything it offers: its actions and the events that can start a neuron, each with a short description. If an app you want isn't listed, ask for it at support@goneuron.io.
Your apps
Your apps lists the apps you have connected, with the account each is connected as, how many of your workflows use it, and its state: Connected, or Reconnect when you need to sign in again. Apps that need you to sign in again are listed first, and also in a banner at the top of the page that says which workflows can't use the app until you do. With many apps, All and Not used filter the list, Find a connected app searches it, and Show all shows every app.
Click an app to see more:
- Used by: each of your workflows that uses the app, and what it does there (for example "Fetch emails, Send email"). Click one to open it. When an event in the app starts the workflow, Starts it shows beside it, with a switch to pause or resume that trigger.
- What it can do: the app's actions, each with a coloured dot: green reads, blue creates or sends, and amber changes or deletes. The colours come from how the app describes its own actions. The first few are shown; click +N more to see them all and search them with Find an action.
- When it was connected, and as which account.
Reconnect, switch account or disconnect
- Reconnect: when an app shows Reconnect, click Reconnect (in the banner) or Sign in again (in the app), and sign in. Workflows that use it are paused until you do.
- Switch account: to use another account in the same app, click Switch account. It says what pauses, because the current account is disconnected first; click Continue and sign in with the other account. The app's triggers stay paused until you turn them back on.
- Disconnect: click Disconnect. It says how many things stop working; click Disconnect again to confirm, or Keep. Workflows that use the app can no longer reach it.
Let a neuron use an app
- Open the neuron's DO tab and find Connected apps.
- Click Add an app and pick the app from the list. Type in Search apps… to find it. Each app shows whether it is connected; if it isn't, click Connect. An app that needs no sign-in shows No connection needed and is ready to use.
- Tick the exact actions the neuron may use. Actions are grouped into Reads and Sends or changes. All ticks every action and Clear unticks them.
- Optionally set Max tool rounds per run: how many rounds of app actions the neuron may take in one run. Default suits most neurons.
Manage opens Connections. Browse all connections shows every app you can connect. A neuron with no apps only uses the AI and its built-in abilities.
A neuron can use up to 25 actions different app actions in its steps, and tick up to 25 actions for the AI. Once you tick one, Connected apps shows how many are ticked out of the most allowed. At the limit, the other actions can't be ticked until you untick one, and All is off when it would tick past the limit. If a neuron has more ticked than allowed (for example, from before the limit), a red note says how many to untick, and its runs fail until you do. You can untick actions in an app even while it isn't connected.
The action list for an AI neuron never offers actions that delete data in an app; those are available only in Steps. If an administrator turns an action off, the action you ticked stays in the list as Turned off by an administrator, with Remove beside it; if they turn an app off, it shows as one card with a single Remove. An action that is gone for another reason shows No longer available — remove it. Either way it can no longer run. When an administrator has set a date for an action to turn off, it shows Turning off on that date, with the time in UTC too, so you can swap it out before then.
In Steps, Add a step lists each app's actions, including apps that need no sign-in. An action that can delete data in the connected account shows a small Deletes data pill; hover it or tab to it for a reminder. Adding the step is your go-ahead, so nothing more is asked. Under the steps, a count such as N of M actions (M is the Steps action maximum above) counts the different app actions used across Steps and Prepare the input first, each counted once. At the most allowed you can still reuse an action already in a step, but new ones are greyed out. Above it the neuron's run fails. Test runs skip any step that deletes data, and the AI is never offered those actions. A step whose action an administrator turned off says so on its card, and one that no longer exists says This action is no longer available. Either way it can't run, so remove it or pick another action.
Start a neuron from an app event
An app event starts a neuron when something happens in a connected app, such as a new email arriving.
- Open the neuron's START tab and click App events.
- Under ADD A TRIGGER, pick the event, such as New email received · Gmail. If its app isn't connected, click Connect (or Reconnect) beside it first.
- Fill in any settings the event asks for and click Add trigger.
The list shows every event an app offers, each with the settings it needs. Which part of the app an event watches is chosen by Neuron (for example, Gmail events watch your Inbox), so there is nothing to set up for that. Apps that need no sign-in have no events, so they don't appear here; they do appear for AI actions and Steps.
The trigger shows Listening while it waits for events, and Last fired once it has started the neuron. Turn the Listening switch off to pause it, or click Delete trigger to remove it.
An app only appears under ADD A TRIGGER, or with Connect under More apps, when it has events to start from. If an administrator has set a date for an event to turn off, the trigger shows Turning off on that date, with the time in UTC too. Once an administrator has turned an event off, the trigger shows Paused: turned off by an administrator. You can't switch it back on, here or on the Connections page: delete it or pick another event. The same message shows for Users who installed your Agent.
Active triggers
The Active triggers list on the Connections page shows the events from your connected apps that start your workflows: the event and its settings, the workflow and neuron it starts, and when it last fired. Turn a trigger's switch off to pause it, or on to start listening again. A trigger whose app needs you to sign in again shows Paused until you reconnect, with Reconnect beside it.
When one event starts several neurons, the trigger shows how many it runs and the most it may run. Click that number to change it (Max neurons): it can't be lower than the neurons the event already runs. Each run is billed.
Required connections for an agent
Some agents act with your own accounts. When you open such an agent in My Agents, a Required connections box lists the apps it needs, each marked connected or not. If one is missing, the box says "This agent acts with your own accounts. Connect … to run it." and the agent can't run yet. Click Open Connections, connect the missing apps, then return to the agent.
Limits
- App action rounds per run: up to 10 rounds rounds of app actions in one run.
- Neurons one app event can start: up to 25 neurons.
Common problems
Too many actions ticked
A run fails, or Connected apps shows a red note, when the neuron has more actions ticked than a neuron may use. Open its DO tab, find Connected apps, and untick the number of actions the note shows. Keep only the actions the neuron needs.
Connection expired
Connection expired on an app in DO means the neuron's actions in that app are paused. Click Reconnect and sign in to the app again.
An app event didn't start the neuron
Check that the trigger is switched on and that the app shows Connected on the Connections page. If the trigger shows Reconnect, the connection was lost: reconnect the app.
One app event runs several neurons
Every neuron with the same event as its trigger runs once per event, and each run is billed. When you add a trigger, the panel shows how many neurons the event will run. Remove the trigger from neurons that don't need it, or lower the most it may run (Max neurons) under Active triggers.
“No longer available: turned off by an administrator”
An action in a step or in Connected apps was turned off, or removed from the app. It can't run, so the neuron's runs that reach it fail. Click Remove, or pick another action. You get an email when one of your Workflows or published Agents is affected.
“Paused: turned off by an administrator”
An app event you use as a trigger was turned off, so the trigger no longer starts the neuron. It can't be switched back on. Delete the trigger and add another event. Users who installed your Agent see the same message on its trigger.
“Turns off on a date”
An administrator set a date for an action or event to turn off (Turning off on). Until then it keeps working. Replace it before the date: swap the action in your steps or tick another, or delete the trigger and pick another event. You get an email when one of your Workflows or published Agents is affected, and another if the administrator cancels the date. Users are not emailed.
Tool integrations are not enabled yet
If the Connections page says "Tool integrations are not enabled yet", app connections are not available on this account yet.
